flights and your transform trip

Booking flights can be a complicated business for an individual holiday so as you can imagine it can be even more complicated for a Transform trip. Below you’ll find basic information about the process we go through when booking flights for our standard public access teams, as well as information on the different types of fares.

You can also download information on booking your own flights as an individual by clicking here.

Yourselves Teams

Yourselves teams are responsible for their own flights. Please click here to download information about how to go about arranging your flights through Key Travel, our associated Travel adviser.

flights booking process
  • 6 – 8 months in advance of your trip Transform will book a charity fare for your team.
  • After you have been provisionally accepted to your trip, we will request a second deposit of £800 from you.
  • Upon receipt of your team’s 2nd deposits, Transform will investigate the cost difference between Instant Purchase and Charity fares and advise you with regard to which to opt for (though you may choose otherwise).
  • You will have 3 full working days to decide which fare to opt for, after which time if we have not heard from you, we will book the fare we recommend for your team.
fare types

Charity Fares
PLEASE NOTE THESE FARES ARE FOR GROUPS OF 9 PEOPLE OR LESS.

These are based on exclusive contracts with over 25 airlines. These fares are unique in that they offer significantly greater flexibility than traditional air fares. The main benefits of these fares are:

  • No minimum stay or Saturday night stay restrictions
  • Often have no ticket deadline so can be held right up until the date of departure
  • After departure they can be date changed with no/minimal fee
  • Many offer excess baggage on the outbound journey to enable you to carry the equipment or resources you need for your charitable work

Negotiated Fares
Key Travel has negotiated fares with some 90 airlines, so can offer great rates and terms on routes all over the world. These fares can usually be held for a certain length of time without payment and changes are possible subject to a fee from the airline.

Published Fares
Published or instant purchase fares (including fares from low cost airlines), are typically available through all agencies and directly through the airlines themselves, with no associated preferential terms.  Many of these lower cost fares cannot be held and so the fare is only guaranteed at time of enquiry/reservation. They are generally very restrictive in that they cannot be changed and are non-refundable.
